ARCHIMEDES CONSULTING

What size companies do you work with?

We work with companies of all sizes.  The size is not as important as the overall structure of the company. Typically we find that a lot of our ability to provide value is dependant on the type of company or the services being provided. For example, we may not be able to provide much value to a contractor building a house. However, we can help in all things administrative that go along with that process, as well as the service delivery. Things like customer engagement process, organizing and prioritizing appointments, communication, follow up, dispatch of workers to different job sites, how the billing and other administrative tasks are handled.

What type of companies do you work with?

At Archimedes we pride oursevles in being able to find room for improvement in any environment no matter what industry. As of now we’ve yet to find a particular type of company in which continuous improvement is not valuable.

What are your consulting rates?

Our pricing model is broken into two categories; Consulting Services, and Professional Services.

We use a flat rate and an up-front set of hours to perform all consulting engagements. Once our partnership has yielded solutions we will provide options on various professional services we offer to assist in the implementation of our solutions. The reason we do this is that not all professional services require the same skillset and our prices for services offered varies. We find that this provides the most value to our customers. You wouldn’t want general project management and senior development work costing you the same amount.

What geographical areas do you service?

Our headquarters is in Seattle, WA but we leave oursevles open to opportunities anywhere in the US.

Why would my company need a consulting firm?

Not all consulting firms are created equal, at Archimedes Consulting we focus on contiuous improvement projects that drive value for the client. Before moving forward on any implementation you would have completed an initial Discovery meeting in which we discuss the situation and begin to learn about your business. This yields a Solutioning quote in which you will know up front how much investigation into the challenges and research will cost you. From that stage of our engagement model you will get detailed options and project plans, as well as a complete Value/Effort breakdown with Return on Investment and break-even analysis. In our opinion the consulting will yield one of two outcomes; validation from an outside perspective that you are performing your services with no room for improvement and data to back it up. Or, details on any opportunities we can find to add value, with a complete breakdown on cost to you for value earned.

How can we afford consulting if we are already struggling?

This really depends on the situation. In short, you may not always be able to. However in other cases it may be exactly what you need to get back on track. Our Discovery meeting is always free, and we will do everything we can to learn as much up front as possible that way we know how to tailor each consulting engagement accordingly. If we end up finding efficiencies that reduce your operating costs it could be just what you need to get headed in the right direction. We pride ourselves in finding pricing solutions for  any implementation, any situation.

How long have you been in business?

Archimedes was founded in August 2021 by a process improvement expert and former IT professional. While we may not have been in business very long we have a firm 20+ years experience in IT and Continuous Improvement spaces. In addition, we know what we don’t know, and therefore maintain a core group of contractors to supplement any expertise we lack in a given situation. Each contractor is a former colleauge and trusted contact.

AUTOMATION

What is process automation technology?

Simply put, any technology that automates components of your business process. There are many different tools in the market that can automate process tasks, which tool(s) to use depend on your process and the systems you use to accomplish them. RPA (robotic process automation) tools mimic a user, in scripted clicks and copy/paste actions. Microsoft Office 365 has tools like Power Automate that can perform actions in your Office 365 cloud environment based on certain triggers. Triggers like an email, or a list entry in SharePoint, etc. Archimedes uses these technologies to help you automate the processes that mnake sense to. This frees up your users to put thier talents to work.

What are the different types of process automation?

Process automation is not a new field but it has been one under constant and accelorating growth. This makes keeping up with the terminology difficult. Currently we focus on; Scripts and Macro’s, IT Process Automation, Robotic Process Automation, and Integrations via API.

What are the functions of process automation?

Process automation uses technology to automate complex processes. It typically breaks down into the following functions; process automation, information centralizing, and reducing interactions from users.

Take an example within a bank. It used to be that  in order for you to apply for a savings account, you would fill out much of the same paperwork you would when you first created your checking account. Process automation enabled the process to be minimilized by recognizing you by a few key pieces of information, and pulling as much information as approprriate from your existing account. This minimized the amount of time it takes you, it reduces the potential for error and follow up, and therefore shortens the entire process.

What is an example of process automation?

An example would be your sales software integrated with your quickbooks online. When an opportunity presents itself tasks like quote or estimate creation can pass information between the two systems. This alliviates a user from having to juggle between the two systems or manually transpose information from one to the other.

How is automation used in day to day life?

In an ideal world, the most common user would be using automation tools in their everyday work life. This concept is called democratized automation. The best examples are in typical administrative overhead. Let’s say that every once in a while your boss asks you for a very common breakdown of accounts you manage. Automation of this task might be as simple as recognizing that request in email and teaching (Microsoft) Power Automate to trigger an automation prcoess when it is received. The automation might send a reply to your boss letting them know you are on it, then perhaps adds a follow up to your calendar for a time in the future. It then passes the job off to the system you use to manage your accounts via an API calling for specific data. When the data is received it is placed into an Excel template you have made and saved previously. Then the finished product is emailed to you for review prior to sending to your boss. When you ge the email you can add commentary and/or context prior to sending to your boss. All the time you saved in the process allowed you to spend more time with your clients, building relationships within your company, training, or maybe even keeping a healthy work life balance.

What are the process automation platforms?

Business Process Automation Software streamlines business process by integrating complex components and systems into a single managed flow.

ROBOTIC PROCESS AUTOMATION (RPA)

What is RPA?

Robotic Process Automation (RPA) is a technology that uses software robots to automate repetitive, rule-based tasks which enables the automation of routine and time-consuming processes.

What is RPA vs AI?

While RPA and AI complement each other, RPA is best suited for automating repetitive tasks using predefined instructions where AI excels at simulating human intelligence through decision-making and learning from data.

How can RPA help businesses?

RPA offers operational efficiency by handling mundane, repeatable tasks and eliminating human error. This extra set of hands not only reduces operational costs, but also empowers your team to focus on tasks requiring complex, strategic, or creative thinking. These advantages lead to cost savings, improved productivity, and a competitive edge for businesses in various industries.

Who invented RPA?

The actual term RPA was coined in 2012 by Phil Fersht, founder and lead analyst at HFS Research. The technology plodded along until about 2018 when it exploded in popularity as companies undertook digital transformation and RPA platform capabilities improved.

PROCESS OPTIMIZATION

How do you optimize a process?

The first step is to capture the whole process in a flow diagram (process flow chart) and even a process document. Next is to measure the current performance of the process, this is called creating a baseline. In this process you will see how long steps take on average, error rates, wait times, etc. These two things allows you to see and understand the process more visually. Next is to apply lessons from various global best practices. Lean, Six Sigma, 5S, ITIL, ITSM, and others. You can take a look at how many times the process switches between the same teams, often cutting wait times can be reduces by reordering the steps. Next can be eliminating re-work by altering process steps to help eliminate errors. There are a lot of other steps, eliminating double work, enabling the process to work steps in tandem with use of management systems, establishing SLAs (service level agreements) and OLAs (operational level agreements), and others including automation, scripting, etc.

Why is process optimization important?

Process optimization leads to working more efficiently. You eliminate unnecessary steps and automate steps in the process to save time, reduce errors and avoid duplicate work. … Moreover, it is also nice for employees to be able to work more efficiently, supported by the right software tools.

What is business process optimization?

Business Process Optimization (BPO) is the targeted redesign of core processes to promote efficiency and strengthen the alignment of individual processes with overall strategy and goals.

What is meant by optimization?

All fancy lingo aside, making something the best it can be using the tools and technology available and cost effective given the circumstances.

What is a workflow process?

An orchestrated and repeatable pattern of business activity enabled by the systematic organization of resources into processes that transform materials, provide services, or process information.
